Rules for managing your inbox

  1. Anything with "receipt" in the subject line stays exactly where it is, to be dealt with in one heroic session, thirty days before the self-assessment deadline.

  2. Anything from your child's school gets opened instantly, in case it's another closure day. When it turns out to be a list of thirty things to remember for next week, you breathe a sigh of relief and leave it right there, to forget about on Monday morning.

  3. Anything that looks like a new client enquiry gets opened, read three times, and left exactly where it is, because replying properly needs a coffee, a clear head, and you genuinely can't remember where you saved the templated response. It does, however, take up permanent residence in your head for the rest of the day, just so you don't forget about it.

Once you’ve read them all, hooray! That little red dot has disappeared. But you haven’t actioned anything, and now your inbox is acting as a very disorganised to do list.

The problem isn’t really the number of emails you have

It's the number of decisions you need to make

Look at an email. Read the subject line. Do you need this now? Not sure, better open it. It's long, skim the first bit. Is this urgent, or can it wait? Is it an enquiry? Can you answer it right now, or do you need to attach something, check your calendar, write a proposal, pass it to someone else? Is it just an FYI, and if so, where do you even note that down, because if you leave it in your inbox you'll forget it exists?

That's not one decision. That's ten, before you've even worked out what to do with it. Multiply that by the number of emails sitting there, and it's no wonder the instinct is to just... not.

So you stop. You leave things unread, telling yourself you'll come back to them. You assume the subject line tells you enough. The unread count climbs into the thousands, sitting there as visual clutter and quiet guilt, until one day you get the notification that your inbox is full.

You don't want to read your emails. They interrupt what you're doing. They're difficult to categorise and harder to respond to. You've thought about automating parts of it, but you never have time to learn how. You'd genuinely rather fold the laundry. You keep everything, just in case. You tell yourself you'll go back and read your newsletters properly one day. You never do. Then one day it all gets too much, and you bulk-unsubscribe from everything in one go.

I’m not a naturally tidy person. I'm a reformed email hoarder, still refusing to go anywhere near one particular personal account. But between running a business and the ridiculous amount of admin my family generates, I needed habits that actually stuck, not another system I'd abandon by next week.

1. Why you avoid it

Three habits come up again and again: using your inbox as a to-do list, so anything you can't action immediately just sits there while you try to hold it in your head. No real system for decisions, either no labels at all, or hundreds of them so specific you can never tell what actually needs doing. And no dedicated time to check email, so it interrupts your day instead of fitting into it.

2 What actually changes it

A simple decision tree for the emails that actually land in your inbox, built around the questions that matter: what you need to do with it, how urgent it is, whether it's blocked by something else, whether you'll need to find it again, whether it needs unsubscribing from. Nothing complicated, just a handful of questions that turn "what do I do with this" into an automatic decision instead of a fresh one every time.

3 How to make it stick

Labels, snooze, archive versus delete, converting emails straight into tasks, and filters that do the sorting before you even open the app. Not a tour of everything Gmail can do, just the handful of features that actually change how your inbox behaves.

You'll leave with new habits, a clearer system, and an understanding of the newest Gmail features. More than that, you'll leave feeling like your inbox is something you manage, rather than something you dread.

A note on plans: this session is built around Google Workspace Business Standard. If you're on a lower tier or a free Gmail account, most of what we cover will still apply, there are just a handful of paid features we may discuss that you won't have access to.
