  • To comply with legal requirements: Name and contact information for tax and regulatory purposes.

  • For dealing with queries or complaints: Correspondence and records related to your inquiry.

Under UK data protection law, we rely on the following "lawful bases" to use your data:

  • Contract: Where we need your data to carry out our agreement with you.

  • Consent: Where you have given us clear permission (e.g., for our MailerLite mailing list).

  • Legal obligation: Where we must keep data to comply with the law (e.g., HMRC tax records).

  • Legitimate interests: Where it is necessary for our business to operate effectively and provide a high-quality service, provided this does not unfairly impact your privacy.

Your Rights: You have the right to access your data, ask us to correct or delete it, or object to how we use it. If we are using consent, you can withdraw it at any time.

4. How long we keep information

We only keep your personal information for as long as is necessary for the purposes for which it was collected. Our standard retention periods are:

  • Financial and Tax Records: We keep invoices and billing information for 6 years to comply with HMRC record-keeping requirements.

  • Client Project Files: We retain resources and project data in Google Drive for 6 years after our contract ends in case of future queries or legal claims.

  • Marketing Data: We keep your details for as long as you are an active subscriber. If you unsubscribe from MailerLite, we keep your email on a "suppression list" indefinitely to ensure we respect your request not to be contacted again.

  • General Enquiries: If you contact us but do not become a client, we delete your information after 2 years.

5. Who we share information with

We share your data with "data processors" who provide essential services for our business:

  • Google: For secure cloud storage and document management.

  • MailerLite: To manage our mailing list and send marketing updates.

  • FreeAgent: To manage our professional accounting and invoicing.

6. Sharing information outside the UK

Where necessary, we use providers based outside the UK. We ensure appropriate safeguards are in place:

  • Google LLC (USA): Data is protected via the UK-US Data Bridge (Adequacy Regulations).

  • MailerLite (EU): Data is stored in Germany and the Netherlands, which are covered by UK Adequacy Regulations.
